Aurora Viking – Terms & Conditions

These Terms & Conditions apply to tours, bookings, digital services, customer communications, and other services provided by Aurora Viking (“Aurora Viking,” “we,” “us,” or “our”).

The Terms & Conditions in effect when a booking is made will apply to that booking unless otherwise agreed in writing.

We may update these Terms & Conditions from time to time to reflect changes to our services, operations, costs, technology, safety procedures, or legal requirements.

By completing a booking, you confirm that you have read and accepted these Terms & Conditions.

A booking is confirmed once payment has been received as required and a booking confirmation has been issued.

The person making a booking accepts these terms on behalf of all persons included in the reservation and is responsible for ensuring that the information supplied is accurate.

Aurora Viking is an Icelandic tour operator specialising in Northern Lights tours, small-group experiences, private tours, and other travel experiences in Iceland.

Bookings may be made directly with Aurora Viking, through our official sales channels, or through approved third-party booking platforms.

Guests are responsible for providing accurate contact information, including a valid email address and telephone number, so that Aurora Viking can provide information relating to their booking.

Northern Lights Tours

1. Free Retry Guarantee

If an Aurora Viking Northern Lights tour operates but the Northern Lights are not visible to the naked eye, each guest who attended the tour is entitled to unlimited free retries for up to two years from the date of the original tour.

A faint aurora that is visible to the naked eye counts as a sighting.

Aurora that is detectable only through a camera and is not visible to the naked eye does not count as a sighting for the purposes of the retry guarantee.

If no Northern Lights are seen, no refund is provided solely for that reason. Instead, eligible guests receive the free retry option described in these Terms & Conditions.

The Northern Lights are a natural phenomenon and cannot be guaranteed.

2. Attendance

Guests must attend their originally booked Northern Lights tour in order to qualify for a free retry.

A guest will not qualify for a retry if they:

  • do not attend the tour;

  • cancel their booking;

  • arrive too late to participate;

  • miss their scheduled pickup; or

  • otherwise choose not to participate.

Seats, guides, vehicles, and operational capacity are allocated according to confirmed bookings, and these costs remain even if a guest does not attend.

3. Booking a Free Retry

Free retry bookings must be requested before 12:00 noon on the day the guest wishes to join.

All retry bookings are subject to availability.

Aurora Viking cannot guarantee retry seats on departures that are fully booked or where operational capacity is otherwise unavailable.

Guides, vehicles, routes, and passenger allocations are normally organised during the day. We may therefore be unable to accept retry requests received after the deadline.

A free retry has no cash value.

4. Rescheduling

Requests to reschedule a booking less than 24 hours before departure are treated as cancellations and are non-refundable unless Aurora Viking expressly agrees otherwise.

Aurora Viking may, at its sole discretion, permit a one-time courtesy reschedule.

Where a courtesy reschedule is approved, the new booking:

  • is final;

  • is non-refundable;

  • normally cannot be rescheduled again; and

  • remains subject to availability.

A courtesy reschedule does not restore refund rights that were lost under the terms applying to the original booking.

If a guest attends the rescheduled tour and the Northern Lights are not visible to the naked eye, the normal free retry policy applies.

5. Non-Transferable Retries

Free retry rights belong only to the individual guest who attended the original tour.

Retry rights may not be:

  • sold;

  • transferred;

  • gifted;

  • exchanged for cash; or

  • used by another person.

Aurora Viking may request information reasonably necessary to verify eligibility for a retry.

6. If Aurora Viking Cancels

If Aurora Viking cancels an original booking because of weather, road conditions, safety concerns, operational circumstances, or another reason preventing the tour from operating, guests may choose between:

  • transferring the booking to another available departure; or

  • receiving a full refund for the cancelled service.

This applies to original bookings.

Courtesy reschedules that were granted as exceptions to our normal cancellation rules do not create new refund rights.

7. Retrying With Another Operator

Joining a Northern Lights tour with another company or using another operator's retry service does not affect an Aurora Viking

booking or alter the Terms & Conditions applying to it.

General Terms

1. Prices and Payments

Prices displayed directly by Aurora Viking include applicable VAT unless otherwise stated.

Aurora Viking is not responsible for:

  • currency exchange fluctuations;

  • foreign transaction fees;

  • bank charges;

  • card-provider fees; or

  • fees independently charged by third-party booking platforms or payment providers.

Aurora Viking does not add separate card-payment surcharges to direct bookings unless expressly stated before purchase.

Prices may be changed at any time before a booking has been confirmed.

Once a booking has been confirmed and paid for, the agreed price will normally remain unchanged.

If a new government tax, levy, or mandatory charge increases the cost of providing the booked service by 5% or more, Aurora Viking reserves the right to apply an appropriate surcharge.

If such a surcharge increases the total booking price by more than 10%, the guest may cancel the affected booking and receive a full refund.

2. Pick-up and Drop-off

Many Aurora Viking tours include pickup and drop-off from selected locations.

Guests are responsible for:

  • selecting the correct pickup location;

  • checking the pickup information provided with their booking; and

  • being ready throughout the stated pickup window.

Pickup may involve multiple passengers and locations and can therefore take place at any point within the stated pickup period.

If you are uncertain about your pickup location, you should contact Aurora Viking before departure.

Drivers and guides cannot normally wait for guests who are not ready, because doing so may delay the tour and other passengers.

Missing a scheduled pickup does not qualify the guest for a refund.

3. Travel Insurance

Aurora Viking strongly recommends that all guests obtain appropriate travel insurance.

Travel in Iceland can be affected by:

  • weather;

  • road closures;

  • flight disruptions;

  • illness;

  • injury;

  • natural events; and

  • other unexpected circumstances.

Travel insurance may provide protection against costs that are not covered by Aurora Viking's cancellation or refund policies.

4. Weather and Operating Conditions

Travel and outdoor activities in Iceland are affected by rapidly changing weather, road conditions, safety considerations, and other operational factors.

Aurora Viking reserves the right to make reasonable changes to:

  • routes;

  • itineraries;

  • departure times;

  • pickup arrangements;

  • stops;

  • duration; or

  • other operational details

where reasonably necessary for safety, weather, road conditions, official warnings, or operational requirements.

Our guides and operations team make decisions based on the information and conditions available at the relevant time.

Weather forecasts, including cloud-cover forecasts, are inherently uncertain and may change rapidly.

Guests are expected to follow reasonable safety instructions given by Aurora Viking staff and guides.

Aurora Viking is not responsible for additional losses or expenses caused by circumstances outside our reasonable control, including:

  • extreme weather;

  • road closures;

  • natural events;

  • strikes;

  • government action;

  • flight delays or cancellations;

  • failures by airlines;

  • failures by accommodation providers;

  • failures by third-party activity providers; or

  • other force majeure circumstances.

If a domestic or international flight is delayed, cancelled, or changed, the guest remains responsible for resulting additional costs unless otherwise required by applicable law.

5. Changes to Tours

Aurora Viking may substitute routes, stops, activities, vehicles, departure times, or other aspects of a tour when reasonably necessary.

Such changes do not automatically entitle a guest to a refund where the essential nature of the booked service is still provided.

Where a material part of a service cannot be provided, Aurora Viking will handle the situation in accordance with applicable law and the circumstances of the booking.

6. Clothing and Equipment

Guests are responsible for wearing clothing and footwear appropriate for the booked activity and Icelandic weather conditions.

This is particularly important for activities including:

  • Northern Lights tours;

  • winter tours;

  • ice fishing;

  • glacier-area activities; and

  • activities taking place in exposed or remote environments.

A guide may refuse participation if a guest's clothing, footwear, equipment, condition, or behaviour creates a significant safety risk.

Normal cancellation terms may continue to apply where participation is refused for this reason.

7. Luggage and Personal Belongings

Guests are responsible for their luggage, valuables, electronic devices, and other personal belongings.

Aurora Viking cannot accept responsibility for loss of or damage to personal belongings except where Aurora Viking is legally responsible for that loss or damage.

Guests should keep valuables with them and use luggage appropriate for Icelandic travel conditions.

8. Outdoor Activities and Assumption of Normal Risk

Travel and outdoor activities in Iceland involve risks arising from weather, terrain, road conditions, darkness, ice, snow, wind, water, wildlife, and the natural environment.

By participating in an Aurora Viking activity, guests acknowledge the normal risks associated with the activity and agree to follow reasonable safety instructions provided by guides and staff.

Nothing in these Terms & Conditions excludes rights or protections that cannot legally be excluded under applicable law.

Aurora Viking may refuse participation or remove a guest from a tour if the guest's behaviour, physical condition, actions, or failure to follow reasonable instructions creates a significant safety concern for:

  • themselves;

  • other guests;

  • staff; or

  • members of the public.

Guests who are threatening, abusive, violent, or seriously disruptive may be removed from a tour without a refund.

9. Alcohol and Drugs

Guests who appear to be seriously impaired by alcohol, illegal drugs, or other substances may be refused participation if their condition could reasonably affect safety or materially interfere with the experience of other guests.

No refund will normally be provided where participation is refused for this reason.

10. Third-Party Services

Some Aurora Viking bookings may include or connect customers with services provided by independent third parties.

Where clearly identified as such, those services may be subject to the provider's own Terms & Conditions.

Aurora Viking is not responsible for independent acts, omissions, cancellations, delays, or service failures by third parties except to the extent Aurora Viking is legally responsible.

11. Feedback and Complaints

Aurora Viking welcomes customer feedback.

Guests who experience a problem are encouraged to contact us as soon as reasonably possible so that we have an opportunity to investigate the issue and, where appropriate, attempt to resolve it.

Formal complaints relating to a tour should normally be submitted within five days following completion of the tour.

Nothing in this provision limits any mandatory consumer rights that apply under Icelandic or other applicable law.

12. SMS and Mobile Messaging Terms

Aurora Viking may offer customers the option to receive SMS messages relating to their bookings and interactions with us.

By opting in to SMS communications from Aurora Viking, you agree that we may send transactional and operational text messages to the mobile telephone number you provided.

Messages may include:

  • booking confirmations;

  • pickup information;

  • pickup-time changes;

  • tour-status information;

  • weather-related updates;

  • cancellations;

  • schedule changes;

  • booking-management links;

  • customer-support communications; and

  • other information directly related to services you have requested or booked.

Aurora Viking's operational SMS service is not intended as a general promotional or advertising mailing list.

Message Frequency

Message frequency varies depending on your booking, tour status, operational circumstances, and communications with Aurora Viking.

Charges

Message and data rates may apply.

Your mobile carrier may charge you for sending or receiving SMS messages according to your mobile plan.

Aurora Viking does not control these charges.

Opting Out

You may opt out of SMS communications at any time by replying:

STOP

Where technically supported, you will receive confirmation that you have been unsubscribed.

After opting out, Aurora Viking will not send further SMS messages through that messaging programme unless you subsequently provide consent again or communication is otherwise permitted by applicable law.

Opting out of SMS does not cancel an existing tour booking.

Important booking information may instead be provided through another available communication method, such as email.

Carrier Responsibility

Mobile network operators and carriers are not responsible for delayed or undelivered messages.

SMS delivery may depend on network availability, carrier systems, roaming arrangements, device settings, and other factors outside Aurora Viking's control.

SMS Privacy

Aurora Viking does not sell or share SMS opt-in data, mobile telephone numbers, or SMS consent information with third parties or affiliates for their own marketing or promotional purposes.

Service providers involved in delivering communications may process mobile information solely as necessary to provide services to Aurora Viking.

Consent and Bookings

Where SMS opt-in is offered separately, agreeing to receive SMS messages is not a condition of purchasing a tour.

Customers may still be required to provide a valid telephone number as part of a booking where reasonably necessary for booking administration, emergency contact, or operational purposes.

Providing a telephone number does not by itself constitute consent to receive unrelated promotional SMS communications.

Twilio's current A2P guidance specifically expects the opt-in process to be verifiable and requires the campaign's privacy policy and terms to be publicly accessible. Its own messaging terms also use the standard disclosures for variable message frequency, possible message/data charges, STOP, HELP, and carrier-delivery limitations.

13. Email and Other Customer Communications

Aurora Viking may contact customers using the contact details supplied with a booking when reasonably necessary to administer or provide the booked service.

This may include communications concerning:

  • booking confirmations;

  • pickup details;

  • operational information;

  • cancellations;

  • payment matters;

  • customer-service requests; or

  • changes affecting the booking.

Marketing communications, where used, will be handled separately in accordance with applicable law.

14. Payment Terms

Aurora Viking accepts major credit and debit cards for direct online bookings.

Full payment is normally required at the time of booking.

Payments may be subject to:

  • 3D Secure;

  • fraud-prevention systems;

  • identity verification; or

  • other security procedures required by payment providers or banks.

For private tours, group reservations, or other arrangements where a balance is payable at a later date, the payment schedule will be stated in the applicable booking agreement or invoice.

Unless otherwise agreed in writing, outstanding balances must be paid no later than two weeks before departure.

Failure to pay an outstanding balance by the agreed deadline may result in cancellation of the booking.

15. Refunds

Any refund due from Aurora Viking will normally be returned using the original payment method where reasonably possible.

Banks, card issuers, payment providers, and booking platforms may require additional processing time before a refund appears in the customer's account.

Aurora Viking is not responsible for processing delays occurring within those independent systems after Aurora Viking has correctly issued the refund.

Where a booking was made through a third-party booking platform, refunds may need to be processed through that platform.

16. Booking Information

Guests are responsible for checking their booking confirmation and notifying Aurora Viking promptly if information is incorrect.

This includes:

  • passenger names;

  • dates;

  • number of guests;

  • tour selection;

  • contact information; and

  • pickup information.

Aurora Viking is not responsible for problems caused by incorrect information provided by the person making the booking.

17. Personal Data and Privacy

Personal information provided to Aurora Viking is handled in accordance with our Privacy Policy and applicable data-protection law.

The Privacy Policy explains how we collect, use, store, and share personal information and how customers can exercise applicable privacy rights.

18. Governing Law

Bookings and services provided by Aurora Viking are governed by Icelandic law, subject to any mandatory consumer rights that may apply.

Any dispute that cannot be resolved directly between the parties will be subject to the jurisdiction of the Icelandic courts, except where applicable mandatory law provides otherwise.
