⚔️ Aurora Viking — Terms & Conditions (Aurora Viking DNA Version)

These Terms & Conditions apply to all tours and services provided by Aurora Viking. We may update them occasionally to reflect improvements in our operations, guest experience, or safety standards. The version shown on our website at the time of your booking is the one that applies.

By accessing, browsing, booking, or completing a reservation through our website (mobile or desktop), you confirm that you have read, understood, and agreed to these Terms & Conditions. A binding contract between you and Aurora Viking begins only when full payment is received and a confirmation email has been issued. The person making the booking accepts these terms on behalf of their full travel group and is responsible for the accuracy of all provided information.

Aurora Viking is an Icelandic tour operator specializing in Northern Lights adventures and small-group experiences across Iceland’s dramatic landscapes. Our focus is on quality guiding, responsible operations, and maximizing your chances of seeing the aurora through real forecasting, not guesswork.

Bookings can be made directly through Aurora Viking, through our official sub-brands, or via trusted partner platforms. If you encounter issues while booking on www.auroraviking.com, our Customer Care Team is here to help.

We reserve the right to adjust itineraries, routes, departure times, or operational plans if necessary due to Iceland’s weather, road conditions, safety considerations, or other unforeseen circumstances. Iceland is unpredictable by nature, and part of our job is making real-time decisions to keep tours safe and enjoyable.

Aurora Viking is not responsible for additional expenses caused by events outside our control, including flight delays, cancellations, illness, extreme weather, natural events, or force majeure. Guests are responsible for providing accurate contact details (email and phone) so we can notify you quickly if any changes to your tour occur.

⚔️ AURORA VIKING — NORTHERN LIGHTS TERMS

Aurora Viking is not a generic mass-tour operator.
We are a small, expert-led team that actively tracks real-time solar wind data, satellite imagery, cloud models, and space weather — the same data the Icelandic meteorological office uses — to find the best possible conditions every night.

Because of this, our Northern Lights policy is built differently from typical “big bus” operators.
We rely on accurate planning, guide availability, tight scheduling, and small-group logistics.
To keep our tours sustainable and fair for both guests and guides, we follow the policies below.

1. Unlimited Free Retry Guarantee

If the tour operates and no Northern Lights are seen with the naked eye, each guest receives unlimited free retries for 2 years from the date of the original tour.

A faint naked-eye arc counts as a sighting.
Aurora visible only through the camera does not count.

There is no refund if no lights are seen — only the free retry option.

2. Attendance Required

Guests must attend their originally booked tour to qualify for a retry.
If a guest:

  • does not show up

  • cancels

  • arrives late

  • or chooses not to join the tour

…they forfeit the free retry.

Explanation:
Your seat, guide, and bus capacity are reserved specifically for you. These costs exist even if you do not attend.

3. Free Retry Booking Deadline (IMPORTANT)

Free retry bookings must be made before 12:00 (noon) on the day of the tour.

Retry seats are subject to availability and cannot be guaranteed on fully booked nights.

Explanation:
By noon, Aurora Viking has already allocated guides, buses, and operational planning. Late retry requests cannot always be accommodated.

4. Rescheduling Requests

Rescheduling within 24 hours of departure is treated as a cancellation and is non-refundable.

Aurora Viking may allow a one-time courtesy reschedule, but such reschedules:

  • become final

  • are non-refundable

  • do not reopen refund eligibility

  • do not allow further rescheduling

  • do not guarantee seats on full nights

Explanation:
Inside the 24-hour window, Aurora Viking has already spent non-refundable operational resources: guide wages, bus preparation, seat allocation, fuel, and route planning. Late changes directly create financial loss.

5. Courtesy Reschedules

If Aurora Viking grants a special exception outside normal terms, this reschedule becomes:

  • final

  • non-refundable

  • subject to availability

  • and eligible for retry only if you attend and no lights are seen

Explanation:
Courtesy rescheduling is goodwill above and beyond policy, so it must remain final to prevent repeat manipulation or double-refund attempts.

6. Non-Transferable Retry

Retry tickets cannot be:

  • resold

  • transferred

  • gifted

  • used by another person

They apply only to the guest who attended their original tour.

7. If Aurora Viking Cancels the Tour

If Aurora Viking cancels a tour due to weather, safety, or operational reasons, guests may choose:

  • a free rebooking, or

  • a full refund

This applies only to the original booking, not courtesy rescheduled bookings.

Explanation:
Original bookings are fully protected. Courtesy reschedules are exceptions and do not reopen refund possibilities.

8. Using Another Company’s Retry

Using a retry with another operator does not affect your Aurora Viking booking, refund eligibility, or retry rules.

⚔️ AURORA VIKING — GENERAL TERMS 

1. Prices

1.1. As a local Icelandic operator, Aurora Viking is not responsible for exchange rate changes, bank fees, credit card fees, or foreign transaction fees charged by your card provider or bank.

1.2. Aurora Viking does not add booking fees or payment surcharges. Any additional charges from your bank, payment provider, or booking platform are outside our control.

1.3. All prices shown on our website include VAT and are based on current operating costs.
Prices may be updated at any time to reflect government tax changes, fuel fluctuations, or other cost increases outside our control.

Once your booking is confirmed and paid, your price is guaranteed, unless:

  • a government-imposed change or tax increases the cost by 5% or more.
    If the surcharge exceeds 10%, you may cancel for a full refund.

2. Pick-up & Drop-off Services

2.1. Many Aurora Viking tours include pick-up and drop-off services from selected locations. Please review the tour description carefully to see whether pick-up is included, optional, or if the activity is meet-on-location only.

2.2. Guests are responsible for providing an accurate pick-up location and being ready at the correct time. Your pick-up window is listed on your voucher. If unsure, contact our Customer Care Team.

2.3. Missing your pick-up does not qualify for a refund.
Guests must be ready at their chosen pick-up point for the entire pick-up window, as guides cannot wait due to time-sensitive routes, weather conditions, and other guests.

3. Travel Insurance

3.1. We strongly recommend purchasing travel insurance in your home country.
Iceland’s weather, road conditions, and global travel delays are unpredictable, and insurance protects you from unexpected cancellations, medical expenses, or itinerary changes.

4. Icelandic Weather & Operating Conditions

4.1. All Iceland tours — Northern Lights, day tours, ice fishing, glacier activities, and general sightseeing — are subject to weather and operational conditions. Aurora Viking may adjust itineraries, change departure times, or cancel tours when necessary for safety.

4.2. Iceland’s weather changes quickly. Our guides are trained to make real-time decisions based on current road and safety conditions. Their authority and expertise should always be respected, especially during winter months.

4.3. Aurora Viking cannot be held responsible for delays, injuries, sickness, loss, or schedule changes caused by weather, road closures, strikes, natural events, or third-party failures (e.g., hotels, airlines, other tour companies).

4.4. If your international or domestic flight schedule changes, you are responsible for any additional costs this may create. Travel insurance is strongly recommended to cover such situations.

5. Clothing

5.1. Proper outdoor clothing is required for all tours.
This is especially important for winter activities such as Northern Lights, ice fishing, and glacier-adjacent routes. Guests wearing unsuitable footwear or clothing that puts their safety at risk may be refused participation. Cancellation rules still apply.

6. Luggage

6.1. Aurora Viking cannot accept responsibility for damage to luggage or personal items brought on tours. We recommend using sturdy bags and securing valuables.

7. Assumed Risk & Outdoor Activities

7.1. All adventure tours and outdoor activities involve inherent risks. By joining an Aurora Viking tour, you acknowledge responsibility for your own actions and agree to follow the instructions of guides at all times.

7.2. Guides may refuse participation to any guest whose physical condition, health, or behavior indicates they may pose a risk to themselves or others. In such cases, full cancellation charges apply.

7.3. Aurora Viking reserves the right to remove guests who are verbally or physically abusive, disruptive, or threatening toward staff or other guests. No refund will be given.

8. Alcohol & Drugs

8.1. Guests suspected to be under the influence of alcohol or drugs will not be allowed to participate.
No refund will be provided.

9. Reviews & Feedback

9.1. Aurora Viking welcomes all feedback — positive or negative — as it helps us improve.
To address complaints fairly, they must be submitted within 5 days of the tour’s completion.

10. Terms of Payment

10.1. Aurora Viking accepts major credit and debit cards. All card payments use 3D Secure authentication and require full payment at the time of booking.

10.2. For special arrangements or private bookings requiring balance payments, delayed payment may be treated as a cancellation if not received at least 2 weeks before departure (unless an alternative arrangement has been agreed in writing).

11. Governing Law & Jurisdiction

11.1. All bookings are governed by Icelandic law.

11.2. Any disputes will be handled exclusively by the District Court of Reykjavík.
